Why Can’t a Supplier Confirm DDP Pricing Before the Kit Is Finalized?

A U.S. buyer requested DDP pricing for a private label micro-infusion kit. See why kit contents, packaging and destination must be confirmed first.

A U.S. buyer recently asked us to provide DDP pricing for a private label micro-infusion kit.
We had already discussed a preliminary FOB price. The proposed configuration included two E24 micro-infusion applicators, two serum ampoules and our existing packaging.
From the buyer’s perspective, the next step appeared simple:
Add the shipping cost and convert the FOB price into a DDP price.
However, an accurate DDP quotation could not yet be calculated because the finished kit and customized packaging had not been finalized.
This was not a delay in quotation. It was a necessary distinction between quoting a product configuration and quoting a complete packaged shipment delivered to a specific destination.

The Preliminary Price Covered Stock Packaging

The first quotation was based on a defined product combination:
  • Two E24 applicators
  • Two serum ampoules
  • Existing stock packaging
  • A specified order quantity
The two-applicator and two-ampoule configuration was being discussed as a possible one-month supply, based on one treatment approximately every two weeks.
However, the buyer also wanted private label packaging.
At that stage, we had not received a packaging design, box structure, insert layout or confirmed dimensions. The preliminary price therefore could not be interpreted as including an unconfirmed custom box.
This distinction matters because “packaging included” can refer to very different things:
  • Existing neutral packaging
  • A stock box with a customized label
  • An existing box structure with new printed artwork
  • A fully customized box and insert
  • Individual mailer packaging for direct dispatch
Each option produces a different packed size, weight and production cost.
A quotation should state which option it actually includes.

DDP Is Based on the Shipped Product, Not Only the Product Price

DDP pricing is not calculated from the device price alone.
The shipping calculation depends on the physical shipment that will leave the factory. This includes the finished retail box, protective materials and export cartons—not just the micro-infusion applicators and serum ampoules placed on a quotation sheet.
For example, these two configurations may contain similar products:
Configuration A
  • One applicator
  • One ampoule
  • Compact stock box
Configuration B
  • Two applicators
  • Two ampoules
  • Custom insert
  • Printed instruction leaflet
  • Premium retail box
Configuration B will normally require a larger retail box. It may also reduce the number of kits that fit inside each export carton.
That changes:
  • Net and gross weight
  • Retail-box dimensions
  • Export-carton dimensions
  • Units packed per carton
  • Chargeable shipping weight
  • Protective packing requirements
International couriers and freight providers may calculate charges using either actual weight or dimensional weight, depending on the shipment.
A larger box can therefore increase the delivered cost even when the products inside remain relatively lightweight.

Customized Packaging Must Be Defined Before Freight Can Be Confirmed

A packaging mockup is useful for communicating a visual idea, but it does not always provide the production information required for a shipping calculation.
Before confirming a custom-packaging DDP quotation, the supplier may need to know:
  • Which products are placed inside the box
  • The quantity of each component
  • The arrangement of the products
  • The insert material and thickness
  • The finished box dimensions
  • Whether instructions or accessories are included
  • Whether each retail box needs additional protective packaging
If the buyer already has packaging artwork, the supplier should review whether it includes a usable dieline and dimensions.
If the artwork is still at the concept stage, the supplier can initially prepare an estimated quotation. The final delivered cost should then be reviewed after the box structure and packing method are confirmed.

The Delivery ZIP Code Also Matters

“DDP to the United States” is not a complete shipping destination.
A quotation requires an agreed destination, normally including at least the city, state and ZIP code.
Delivery costs can differ between:
  • A commercial address in a major logistics area
  • A residential address
  • An address requiring additional delivery handling
  • Mainland destinations and remote service areas
  • A fulfilment warehouse with specific appointment requirements
The supplier should also confirm whether the quotation covers delivery to the buyer’s premises, a warehouse or another named location.
Without the destination ZIP code, the supplier may only be able to provide a general freight estimate rather than a firm DDP quotation.

FOB and DDP Should Not Be Compared as Identical Prices

A preliminary FOB price and a DDP price answer different commercial questions.
The FOB product quotation helps clarify the cost of the confirmed goods and included packaging under the stated terms.
A DDP quotation must additionally be based on:
  • The final shipment configuration
  • Completed packing information
  • The named delivery destination
  • The selected transport route
  • Applicable export and import arrangements
  • The agreed scope of the delivered service
For this reason, adding a general freight amount to an incomplete product quotation can create a misleading landed-cost figure.
This is especially risky when the original quotation includes stock packaging but the buyer expects a fully customized retail box.

What We Asked the Buyer to Confirm

Instead of providing a DDP number based on assumptions, we asked the buyer to confirm:
  1. Whether the final kit should contain one applicator and one ampoule or two applicators and two ampoules
  1. Whether the preliminary stock packaging was acceptable
  1. Whether customized retail packaging was required
  1. Whether packaging artwork or structural references were available
  1. The final order quantity
  1. The delivery city, state and ZIP code
Once these points are confirmed, the supplier can calculate the retail-box size, export packing and chargeable shipping weight more accurately.
This produces a quotation that corresponds to the product the buyer actually intends to order.

An Accurate DDP Quote Starts with an Accurate Kit Brief

A reliable delivered quotation should not be based on the phrase “complete micro-infusion kit” alone.
Before requesting DDP pricing, buyers should provide a short but specific purchasing brief:
  • Applicator model
  • Applicator quantity per kit
  • Needle-head quantity
  • Serum ampoule size and quantity
  • Stock or customized packaging
  • Instructions and accessories
  • Order quantity
  • Full delivery destination
The same principle applies before comparing suppliers. A lower DDP price may simply cover a smaller box, fewer components or neutral packaging.
We also ask about the buyer’s sales channel and brand positioning before recommending the configuration, because a compact e-commerce kit may have different packaging requirements from a premium retail or distributor-ready product.
